Community Grants

Objective:

To support community not-for-profits/organization in the beautification of their communities and enhance civic pride. For activities that take place on County property.

When to Apply:

Prior to August in the year before the planned activity.

Please complete the Reconciliation form, found within the Community Beautification Documentation, for completed projects (year prior) before submitting a new Community Beautification Application.

Reconciliation:

Follow the above instructions for Reconciliation and Reporting.

Financial Contributions:

Community Beautification is a 50/50 partnership to a maximum grant of $4,000. Groups can contribute in funding and/or in-kind their 50% of partnership; funding cannot come from another County grant source (e.g. EDT Operating Grant), but can come from external grants and donations.

Eligible Expenses:

Plantings, décor, signage, banners, etc.

Ineligible Expenses:

Watering of plants, operating costs, etc.

Objective:

To maximize relationships between community not-for-profits and the County to:

  • Leverage volunteer resources to create strategic, community-initiated infrastructure; and.
  • Provide groups with a single point of access to the County for efficient approvals and funding.

When to Apply:

Applications are accepted throughout the year – specific timelines will need to be followed to obtain approval through the proper channels.
Please allow 30 days for projects under $10,000 and a minimum of 60 days for projects over $10,000.

Reconciliation:

Financial Contributions:

Haldimand County will provide 35% grant funding, based on the total project budget; group contributions (65%) cannot come from another County grant source (e.g. Community Beautification, Operating Grants), however, they can come from external grants and donations.

Eligible Expenses:

CPP application(s) must be completed for all requests on County property, whether or not funding is requested.

Ineligible Expenses:

Operating costs, Programming costs, etc.

Objective:

To provide financial support to encourage the development of event capacity and increase attendance.

When to Apply:

Applications accepted throughout the year and require the submission of a Special Event Application. Grants are available to community groups or organizations in existence for more than one year with demonstrated financial capacity to deliver the festival while meeting their financial obligations. Groups will be contacted after the submission of their Special Event Application if they qualify for the Grant and what additional documentation is required.

Reconciliation:

Following the completion of each year an updated Budget with Actuals will need to be provided to determine the amount of grant funding for the following year.

Financial Contributions:

Organizers of eligible festivals and events can apply for a grant that is equal to 10% of the previous year’s operating budget up to a maximum $ 10,000.

Eligible Expenses:

All expenses must pertain directly to the specific festival/event which has been approved; not the activities of the lead organization.
Programming: Fees for artists, speakers and key creative or community contributors, productions and exhibit costs, venue and equipment rental, design, display and decoration
Administration: Planning, coordination, event management, fundraising, bookkeeping, audience feedback or other data collection, permit fees
Publicity and Marketing: Development and implementation of publicity and marketing strategies and advertising and promotional expenses.

Ineligible Expenses:

  • Ongoing organizational operating costs
  • Deficit management or debt repayment
  • Reserve funds
  • Retroactive costs incurred prior to grant approval
  • Capital improvements or expenditures
  • Awards ceremonies, recognition events, prizes, etc.

Objective:

To provide community not-for-profit and sports groups with funding to operate and maintain County Fields and/or Parks

When to Apply:

No application; annual funding (indexed) provided to Field Management groups.

Reconciliation:

Reporting of use of funding is through inspections.

Financial Contributions:

Haldimand County will provide funding based upon amenities and activities in the parks.

Eligible Expenses:

Based upon operations and maintenance of County parks and fields (baseball and soccer).

Ineligible Expenses:

Programming costs, etc.

Objective:

To help downtown organizations offset costs associated with maintaining downtown areas.

When to Apply:

No application; annual funding provided to the Caledonia BIA, Cayuga Chamber, Dunnville BIA, Hagersville BIA, Jarvis Board of Trade, Selkirk Chamber – to be shared among groups working in the downtown areas.

Reconciliation:

Must be completed by January 31st of following year, future funding can be impacted if reconciliation isn’t completed.

Financial Contributions:

Haldimand County will provide $8,500 per grant.
Organizations will no longer have access to County staff to provide direct support for ongoing operating activities (examples listed below under eligible expenses).
Grant must be shared among groups in each community.

Eligible Expenses:

Downtown maintenance costs such as watering of plants (although use of the operating grant cannot be the group’s contribution to a Community Beautification grant), installation and removal of street pole banners, Christmas decorations or other similar amenities. Implementation of legislated activities such as the development of Traffic Control Plans when installing amenities in the road allowances and contractor costs related to expenses/services previously provided by the County (e.g. staff providing road barriers for an event/festival).

Ineligible Expenses:

Staffing, office expenses, marketing costs or event costs covered through the Festival/Event grant.
