Nursing Clerk

Position Summary
Provides co-ordinated support for all departments by maintaining inventory levels, purchasing required supplies to ensure resident needs are met. Provides administrative and confidential support by taking minutes, tracking resident lists and organizing and filing of resident charts. Is the back up to scheduler(s) and provides scheduling support on the weekends through shift call-ins/replacements as needed.
Qualifications, Knowledge, and Skills
Education
- Completion of Secondary School
Experience
- Prior customer service work experience.
- Special considerations will be given to applicants with the following:
- Previous experience in a Long-Term Care environment.
Knowledge/Skills
- Understanding of home business and administration procedures.
- Good understanding of functions carried out by the Division, as well as the interrelationship of municipal structure and functions with other departments/ divisions within the County and other government agencies to understand municipal government and services.
- Valid Ontario Driver’s License and access to a reliable vehicle.
- Excellent verbal and written communication skills with the ability to give, obtain, seek clarification, and/or exchange routine information.
- Demonstrated initiative, and ability to make decisions involving routine tasks, within established procedures.
- Demonstrated ability to work independently with complex tasks requiring some supervision.
- Demonstrated ability to exercise significant discretion and sensitivity involving regular work with confidential information.
- Proven ability to make responsible purchases.
- Demonstrated analytical and problem- solving skills involving occasional ingenuity, and minor refinement of procedures when necessary.

- Technology Aptitude
- Demonstrated intermediate computer skills to utilize various technological devices and programs while adhering to cybersecurity and best practices are followed.
- Intermediate knowledge of MS Office (Word, Excel, Outlook, PowerPoint)
- Computer proficiency in Staff Schedule Care.
Responsibilities
The incumbent is responsible for, but not limited to:
Corporate
- Follow the GVL philosophy of delivering care to Residents by utilizing DementiAbility and GPA principles
- Ensure the Resident’s Bill of Rights is respected and the guidelines set out by relevant provincial legislation, regulations, and directives are followed, by communicating with residents, visitors, and other personnel in a courteous manner
- Conduct all work within applicable Acts, regulations and approved County policies
- Use sound interpersonal skills to ensure effective public relations that sustain the positive image of the Corporation of Haldimand County
People
- Schedule and complete tours of the Home with family and caregivers
- Scheduling support and call ins for Union Employees on weekends assigned to work or in the absence of the scheduler
Timeline
- Orders must be placed on a weekly basis to ensure delivery to the home which enables staff to provide care to the residents as needed (i.e., food, incontinence supplies, medical supplies)

- Consider budget constraints as directed by the leadership team for orders placed for goods
Functional
- Administrative Support
- Provide administrative and confidential support to the interdisciplinary team to ensure cohesive, accurate and timely business operations in the home.
- Ensure a clear understanding of the work to be completed and the processes and procedures to result in cost-effective completion of all work.
- Purge, organize, file and tidy flow sheets, progress notes, bulletin boards, forms, etc.
- Coordinates interdisciplinary team in preparation for and during New Admission Process.
- Coordinate and communicate foot care schedule with the interdisciplinary team.
- Maintain appropriate records for all Residents, with information provided by Staff, Families or Residents. Provides admission packages and organizes death charts. Completes filing in resident clinical charts.
- Carry out regular office duties: filing, telephone inquiries, work processing, etc.
- Prepare/ proofread written documentation prepared for or by Leadership staff, if requested, being cognizant of deadlines.
- Correlates and stores Resident health records in accordance with the Ministry of Health and Long-Term Care regulations and in accordance with the Information and Privacy Commission of Ontario.
- Arrange/ attend meetings/ events on behalf of members of the home acting as a participant or when required, recording secretary; attend and take minutes of all monthly home area meetings.
- Represent Grandview Lodge in providing tours of the home upon request, and responding to questions or directing them to appropriate persons for response.
- Support the resident admissions – this includes updating all lists (resident list, footcare, incontinence products, bathing list, resident photos name plates for the rooms.) Welcome them to the building on Tuesday or Thursday mornings and give out the initial care conference letter with date and time.
- Inventory, Stock Control, & Delivery
- Stock and order home areas with care supplies and forms. Considering budget constraints and limits.
- Submit prepared on-line supply orders for the dietary, maintenance and nursing departments and receive & inventory items accordingly—always following the policies of the Home
- Monitor inventory levels, communicate with the Leadership team and maintain par-level stock.
- Scheduling and payroll preparation bi-weekly weekend shifts.
- Maintain inventory and oversee the incontinence supplies.
- Complete audits as assigned by the Director of Nursing or designate.
- Coordinate management of bio-hazard and sharps disposal.
- Scheduler Back-Up
- Works every other weekend to assist schedulers to complete call in.
- Updates staff schedule care with shifts accepted for payroll and scheduling purposes.
- Backs up scheduler when on vacation to support shift call outs.

Position Requirement(s)
- A current police check (LE 220 or Equivalent) from within the last 6 months
- Two-Step and Mantoux Test within the past 6 months
Working Conditions
- Regular business hours: Monday to Friday 8:30 a.m. – 4:30 p.m.
- Available for every other weekend shifts.
